1. INTRODUCTION AND PURPOSE
Kaptein Brandt Artisan Sauces (Pty) Ltd operates an artisanal food products manufacturing business and online e-commerce shop specializing in spiced fruit sauces and condiments.
This Manual is compiled to assist members of the public in exercising their right of access to information held by Kaptein Brandt, as provided for in the Promotion of Access to Information Act (PAIA) and the Protection of Personal Information Act (POPIA).

4. RECORDS HELD IN ACCORDANCE WITH OTHER LEGISLATION

5. SUBJECTS AND CATEGORIES OF RECORDS HELD
We hold records in the following categories:
- Statutory Records: Incorporation documents, Share Register, Directors' resolutions.
- Financial Records: Financial statements, tax returns, accounting entries, banking information.
- Operational Records: Raw material sourcing, production logs, shipping records, inventory control lists.
- Human Resources: Employment contracts, payroll logs, internal policies.
- Customer and Sales Records: E-commerce transaction histories, customer delivery details, invoice records, marketing sign-ups.
6. PROCEDURE TO REQUEST ACCESS TO A RECORD
To request access to a record held by Kaptein Brandt:
- Complete the prescribed PAIA Form 2 (Request for Access to Record). Requesters can obtain Form 2 from the Information Regulator's website.
- Address the request to our Information Officer at the email or physical address listed above.
- Provide sufficient detail on the form to enable us to identify the record and your identity.
- Specify the form of access required and indicate if you wish to be informed of the decision in a specific manner.
- Pay the prescribed fee (where applicable) before the request can be processed.
We will assess the request and notify you of our decision within 30 days of receipt, unless an extension is legally warranted.
7. PROTECTION OF PERSONAL INFORMATION (POPIA)
Purposes of Processing Personal Information:
- Fulfilling customer orders and processing payments.
- Maintaining supplier records.
- Operating customer loyalty and promotional communications.
- Compliance with tax and legislative reporting.

- Customers (including e-commerce buyers).
- Employees, directors, and shareholders.
- Suppliers and logistics service providers.
Recipients of Personal Information:
- Courier and logistics companies.
- Payment gateway providers.
- Legal, tax, and auditing professionals.
Planned Transborder Flows of Personal Information:
We host our website, database, and business tools on secure Cloud servers. Some servers may be located outside of South Africa. In all cases, we ensure that the providers adhere to strict data security frameworks that match or exceed POPIA requirements.
